Washington State Consumer Health Data Privacy Notice

This notice explains how Private Prep and ArborBridge handle information about a student’s health, learning differences, and disabilities. It applies in addition to our Privacy Policy.

What we collect

When families work with us, they often tell us things about their student that help us teach well. That may include:

  • The name of a diagnosis, learning difference, or disability.
  • Accommodations a student receives at school or on standardized tests.
  • Medication a student takes, and how it affects their focus, energy, or schedule.
  • Documentation you choose to share with us, such as an IEP, a 504 plan, or a neuropsychological or educational evaluation.
  • Other circumstances you would like a tutor or coach to be aware of, including health events in the family.

Where it comes from

Almost always from you directly, in conversation with our client relations team, in a form, or in documents you send us. Sometimes a student shares it with their tutor or coach during a session. Occasionally an educational consultant you work with shares it on your behalf. With your written permission, we may also receive information from your student’s therapist or other care provider.

Why we collect it

To match your student with an appropriate tutor or coach, to adapt how we teach, to support accommodation requests, and to give the people working with your student the context they need. We do not use this information for advertising, and we do not sell it.

Who sees it

  • The client relations team member who manages your account.
  • The tutors and coaches assigned to your student, and their supervisors. They see only the students they are assigned.
  • Our learning specialists, who review documentation and write instructional summaries.
  • Service providers that host our systems, under contracts limiting them to our instructions.

We share health information outside our company only where you have asked us to or agreed to it, for example with an educational consultant you work with, or with your student’s care provider under a signed authorization. We do not sell health information, and we do not share it for advertising.

Your choices

You may ask us not to record this kind of information, and we will work with your student without it.

You may also ask to see what we hold about your student, ask us to correct it, ask us to delete it, and withdraw permission you have previously given.

We will respond within 45 days and will let you know if we need additional time. If we deny a request, you may appeal by replying to our response. You may also contact the Washington State Attorney General’s Office.
